Upgrading EIDs for Employees

To receive a permanent upgrade of a UT EID, the EID holder must visit an upgrade location in person and present a valid, current government-issued ID. They must also sign the EID Agreement which gives their UT EID legal signature authority.


Note: An employee may not show up in the ID Center systems until one business day after their assignment reaches final approval.


To be eligible for an upgrade, an individual must be a Student, Faculty, Staff, Retiree or a University Affiliate. For individuals outside of UT Austin, they must have an active appointment at a *DEFINE-component institution.


Temporary Remote Upgrades


Note: The purpose of the temporary remote upgrade is to allow you time to visit one of the permanent upgrade locations.


If your employee absolutely needs an upgraded UT EID and cannot possibly make it to one of the upgrade locations, they may be eligible for a temporary remote upgrade.

In order to be eligible for a temporary remote upgrade an individual must be a current or future student, current or future employee, university affiliate, or retiree. These affiliations must be current in HRMS. Documents that are pending or in process may not appear in the ID Center systems.

Before considering a temporary remote upgrade, please note that alternatives may be available to complete certain processes. For example:

  • Employees may access a paper copy of the Payroll Services Employee Information Form (formerly the PO8 form) from the Payroll Services website.
  • Employees may take compliance training on paper by contacting the Compliance Training Coordinator at (512) 232-7842. Other options include taking the training in person or by email.

Eligible employees should visit the EID Self-Help Tools and select Upgrade My UT EID to pursue this option. This process requires that a notarized form be sent to the UT Austin ID Center. The upgrade will be processed within one business day of being received in the ID Center office.


Note: Temporary Remote upgrades for faculty and staff last for 4 years 


Minor Employees and EID Upgrades

Employees must be 18 or older to upgrade a UT EID. If under 18, an employee must have a parent or legal guardian present to countersign the EID Agreement. Both the employee and their parent or legal guardian will need to be present with valid, current government-issued IDs.


Note: Minors (defined as individuals under the age of 18 by the Texas Civil Practice and Remedies Code § 129.001) lack capacity to enter into a contract. The EID Agreement is a legally-binding contract.
