Event support

ITS/Multi-media provides campus-wide AV and media event support to departments, campus organizations, auxiliary enterprises, sponsored student organizations and other University-related organizations.

NOTE:

The ITS Multimedia Group operating in the Networking and Telecommunications unit will discontinue all services effective August 31, 2022. 

  • Special Events AV and Media Support

    ITS/Multi-media provides audio-visual equipment and operator support for university-related special events including, but not limited to, conferences, panel discussions, seminars, convocations, presentations, commencements, talent shows, press conferences, football events, and speeches.  ITS/Multi-media also supports technical coordinators in individual schools and departments.

    IMPORTANT NOTICE:

    Due to evolving technology offerings, increased availability and affordability of external providers, and different approaches to services by customers, there is less demand for Multi-media’s services overall. Consequently, the Multi-media group has begun a phased shut down of services.  Special event support, AV repairs, and AV and multimedia installation services will not accept work requests after June 3, 2022 and all outstanding event work will need to be completed by July 31, 2022.  All services will end August 31, 2022. 

    Customers needing these types of services and support after those dates will be referred to other providers beginning in May and June 2022.

    Features

    Until June 3, 2022 - requests will be accepted for services such as Public Address (PA) systems (sound reinforcement), audio recording, video recording, pool audio feeds for the press, audio feeds for others to retransmit or to record, and RTS intercom systems. ITS/Multi-media can accommodate multiple microphones or other audio sources.  In some venues, ITS/Multi-media also provides video, projectors, screens and basic lighting.

    When event requirements exceed ITS/Multi-media capabilities, we can assist in choosing and/or supervising the appropriate off-campus contractors. 

    Cost

    Costs vary according to the services provided; estimates will be provided upon request.

    Service Level Objectives

    Event requests are handled as scheduled.   We may not be able to provide the service requested for events that will occur sooner than two business days.

  • Multimedia Equipment Rental

    ITS/Multi-media supplies A/V equipment  to university departments, schools, organizations, faculty, and staff to support classroom instruction and educational activities.

    IMPORTANT NOTICE:

    The Multimedia group has begun a phased shut down of services to be completed August 31, 2022.  Equipment rental requests will not be accepted after June 3, 2022. Customers needing equipment rental support will be referred to other providers beginning in May and June 2022.

    Features

    Until June 3, 2022 - rentals are available for daily, weekend, weekly, and monthly.  Due to the shut-down of the equipment rental service on August 31, 2022, please contact Multi-Media@its.utexas.edu for rentals needed for full semesters.  Staff are available to deliver the equipment.  Equipment rentals are subject to availability.

    Response time for routine requests is 8 business hours.   Equipment availability is subject to prior booking.
