Mac OS X: Archiving Messages to Reduce Mailbox Size (Mac Mail)

Messages stored on your computer's hard drive do not count toward your total mailbox size. You can archive your mailbox to your local machine and remove those messages from the server. Storing your messages locally is called archiving, and is a great way to reduce your mailbox size on the server.

Note: Archived messages are not available when you use Outlook Web App (OWA) or a computer other than the one where you saved your messages. If you replace your computer, remember to move your archived messages to your new machine. Also be sure to regularly back up archived messages, since this is not done automatically.

 

Mac OS X 10.6

  1. Select one or more mailboxes to archive, such as your Inbox.

  2. From the Mailbox menu, choose Archive Mailbox.

  3. Choose a folder or create a new folder to save the archives, and click Choose.

 

Mac OS X 10.7

  1. Select one or more messages to archive. If you select a conversation, all messages are archived.

  2. Choose Message > Archive or click the Archive icon in the Mail toolbar. An archive mailbox is created for each account whose messages you archive.
