Reserving Rooms and Resources

To set up a departmental resource, the designated departmental contact must contact the UT Service Desk. For assistance identifying a technical support contact, please call the Service Desk at (512) 475-9400 or send an email to help@its.utexas.edu.

By setting up an email account for a resource such as a conference room, vehicle, projector, etc., departments can reserve and track these resources. This increases the efficiency of office operations and helps avoid resource conflicts.

 

Setting up a resource

The designated departmental contact should contact the UT Service Desk and provide the following information:

  • Name of the requested resource (must include the building abbreviation and room number, e.g., FAC 228).

  • Name of the department requesting the resource.

  • The name and EID of each mailbox owner.

 

Reserving a resource

Once the resource is set up, AEMS users can reserve the room resource directly by setting up a meeting and adding the resource to the required attendees list.

ITS recommends against creating recurring meetings with no end date. Instead, select an end date for recurring meetings at the end of the semester or year.
