Reserving Shared "Meet Me" Conference Call Bridges

Instructions using the Outlook Web App (OWA), Outlook or other email clients will work as well.

  1. Navigate to office365.austin.utexas.edu.
  2. Log in with an UT EID and password.
  3. Click Calendar on the top right.
  4. Choose New Event on the top left.
  5. Enter the event details (such as name, location, start and end times) as usual.
  6. In addition to any listed attendees, enter Conference Call in the Attendees field, then selectSearch Contacts & Directory.
  7. A list of all available conference bridges will appear; select the one you wish to reserve.
  8. Click Send to send the reservation request along with the standard event invitations (if other attendees were invited).
  9. Await approval by email. If you receive a rejection, try adding another of the conference bridges instead.

Note: The 7-digit number after Conference Call Resource will be your conference access code. See the Using Voice Services (VoIP) Wiki for complete "Meet Me" conference call instructions and controls.

Meet Me Conference Call Instructions for Outlook:

  1. Open the Calendar.
  2. Select New Appointment from the upper left hand corner of the ribbon.
  3. Fill in the meeting information as usual, with a Subject, Location, Time, and Attendees.
  4. In addition to any already listed Attendees, add Conference Call and click Check Names
  5. Choose a Conference Call from the Check Names menu and hit OK
  6. To check the availability of that call go to the Scheduling Assistant. Already scheduled time will appear as a blocked out Busy time.
  7. An acceptance email will be sent once the call is approved. If rejected, try adding one of the other conference call bridges instead.
