Print A DEFINE Screen to Green Output


How do I use Green Output to print a DEFINE screen?
You can retrieve a TID payment document coversheet via Green Output using the PRT action in DEFINE for VP1, VP2, VP3, VPE, VP7, VP9, VPT, VE3, VT6, VJ3, and VJ5 commands. This is helpful for those payment documents with many transactions, like VP7s. VE5, VE6, VP5, VC1, VC2, and VC4 documents also have the Green Output feature. 
  1. In DEFINE while on a payment document you wish to print, enter PRT in the action field. A pop-up window will appear.
  2. If there is information in the first section, be sure to remove it. This is for the TID printer, which you don’t need with Green Output. The field should appear blank as you move forward. 
  3. Place an X in the third field down where it says - Mark here to send copy of the document to green output and press Enter on your keyboard.
  4. The link to the printout is now in your eReports folder.  You can access the printout shortly after printing through the https://webdav.austin.utexas.edu/eReports/EID replacing EID with your EID. Map a Green Output folder to your hard drive for better management of green output files by following the instructions for a PC or Mac below.
  5. Print the green output to your desktop as an Adobe PDF file. The PDF cover sheet can now be merged with supporting documentation to submit for payment processing.
The next business day you should receive an email notice with subject line of OPERATIONAL: Output from the Administrative Computing System confirming your previous days Green Output activity. In the confirmation email, there will be a separate link for each successfully processed document. 
Note: If using Green Output for the first time, your eReports folder will be automatically generated when you submit your initial document to route to Green Output. The folder should be generated within 1 - 2 minutes from the initial submission. The access permissions on your folder will be set by an automated job which runs at the top of every hour. Thus, access to your eReports folder should be "Live" (1) minute past the top of the hour after you submit your initial document to Green Output.
 
Mapping a Green Output folder using File Explorer (PC) 
  1. Open File Explorer, right click on This PC in the left-hand navigation bar, then select Map network drive.
  2. The What network folder would you like to map? pop-up window will open with two fields:
    1. Drive: Choose any letter from the dropdown menu
    2. Folder: Enter the URL for your eReports folder manually, \\austin.utexas.edu\disk\eReports\yourEID
    3. Select Reconnect at sign-in.
  3. Click finish to close the pop-up window. A shortcut will be added to your File Explorer left-hand navigation bar. Click on the shortcut to manage your Green Output content.
Mapping a Green Output folder using File Explorer (Mac)
  1. Connect to the VPN (vpn.utexas.edu)
  2. Open Finder 
  3. Select Go > Connect to Server
  4. The Connect to Server pop-up window will open with one field: E
    1. Enter the URL for your eReports folder manually, smb://austin.utexas.edu/disk/eReports/yourEID
    2. Select Connect
  5. Click Connect on the next pop-up window ("You are attempting to connect to the server "austin.utexas.edu") 
  6. On the next pop-up window select connect as Registered User and enter your UT EID ("Name") and password
  7. Click Connect 
  8.  A shortcut will be added to your desktop with your UT EID as the name. Click on the shortcut to manage your Green Output content. Right click Eject to disconnect.
