Why am I receiving a Time Alert email from Workday?
Time Alert emails are sent to both employees who are required to fill out timesheets and their managers. The purpose of these email alerts is to ensure accurate time tracking through timely submission and approval of timesheets. The statuses listed below identify if an action is needed on a particular timesheet.
Time Alert Statuses
- No Time Entered - no time was entered on the timesheet
- Action:
- Employee - enter time in Workday and submit for approval
- Manager/Timekeeper - engage with employee to ensure time is entered and submitted for specified week(s)
- Not Submitted - time blocks entered on the timesheet, but timesheet not submitted for approval
- Action:
- Employee - submit time for approval in Workday, keeping in mind there may be some time blocks that were not submitted in a given week
- Manager/Timekeeper - engage employee to ensure time is submitted for specified week(s)
- Time Reporting Not Required - this will appear if the week indicated was prior to the employee's hire or if the employee is on leave.
- Submitted - Awaiting Approval - timesheet submitted and awaiting approval
- Action:
- Employee - no action required
- Manager/Timekeeper - access submitted timesheets and approve
- Approved - timesheet submitted and approved
Other Situations
- A worker who moves from an hourly job to a salary job and had a week where they did not report any hours on the hourly job will see No Time Entered for that week. This is allowed if the worker is not leave eligible that week. The worker can use the time entry code No Hours to Report this Week to remove the No Time Entered status. Leave-eligible hourly workers should use time off in weeks that they did not work.
- A timesheet that was Sent Back to the submitter for corrections will have a status of Not Submitted on the alert. On the timesheet the time blocks will show Needs Attention. Comments regarding why the time was sent back can be viewed on the history tab of the time block details, or in your Inbox in the comments section of the time event.
