During the Hire process, the existing Pre-Hire doesn’t come up in search. What should I do?
First verify that the Pre-Hire does exist in Workday. Search for the candidate’s EID.
- If there are no results, then the Pre-Hire doesn’t exist in Workday and you should select Create New Pre-Hire during the Hire process.
- If the search result is an active worker (employee or contingent worker), then you cannot use the Hire process. For an active employee, you’ll either use Add Job or Transfer. For an active contingent worker, the Convert to Employee process must be used in coordination with the worker’s current CSU, if applicable. Contact askUS for guidance for your specific scenario.
- If the search result returns an existing Pre-Hire (for a worker that is not currently active), then most likely that Pre-Hire record is unavailable because it is part of an in-progress Hire. In this case, follow up with your candidate to clarify their intentions. Have they accepted a different job or do they intend to have multiple jobs? You may also want to coordinate with the other hiring CSU especially if it is a case of multiple jobs. Contact askUS to get the other hiring CSU and a contact.
