How do I submit my timesheet in Workday?

Entering and Submitting Time

Entering time and submitting time are two different steps in Workday. Any time block on your calendar that shows “Not Submitted” is still pending your submission of that time or time off entry. Instructions for how to enter and submit time in Workday depend on your Fair Labor Standard Act (FLSA) status (exempt or non-exempt). Unable to Enter Time for Self
If you use the guidance provided and are still unable to enter time for yourself in Workday, check the Monthly or Semi-Monthly Payroll Calendars (depends on pay group type) to see when the most recent payroll run occurred. Time entry is locked for a few days before payroll runs but will unlock and let you submit after the payroll run is complete.

Contact your Timekeeper if you have a need to enter time for a prior period and are unable to do so. For more information on time entry in prior periods, please see below.

Trying to Submit Time on Behalf of a Worker
If you are unable to enter time on behalf of a worker, there are two issues to check:

  • Is the worker still in your supervisory organization? To verify, go to the worker’s profile and check to see what supervisory organization they are in.
  • Do you have the security roles on your supervisory organization to submit time for the worker? To verify your roles, go to your profile in Workday > Related Actions > Security > View Roles Assignments for Worker Positions. You may enter time on a worker’s behalf if you are a manager, HR Partner, or Timekeeper.
Time Entry for Prior Periods
  • Locked prior periods
    • Once a prior period is locked, employees cannot enter or submit time in the locked period. Only the Timekeeper and Central HR have the ability to enter time on behalf of a worker in a locked period.
    • A note about locked prior periods: An alert may display indicating that the period is locked. Timekeepers and Central HR can still enter time during the locked prior period.
