Please submit your tag data to INVselftag@austin.utexas.edu as soon as possible so that Inventory Services may add your records with the UT Barcode tags affixed to the items (if applicable - software or artwork may not be applicable).

Transfer Forms
Transfer forms received on this date will be processed to include them in FY 2023-24. Incoming and outgoing Principal Investigator (PI) transfers and interagency transfers to other state agencies typically take longer, so please submit the paperwork to Inventory Services as soon as possible in order to finalize the removal/addition of items.

Late Certification Forms
All certifications must be submitted by this date to provide INV staff enough time to review and process.

IRR Forms
Inventory Removal Request (IRR) forms received by noon will be processed into the Inventory system for FY 2023-24.
Saturday, Aug. 31
Inventory System Close
On Aug. 31 at 5 p.m., the Inventory system in *DEFINE will be closed to updates. You will be notified when the Inventory system has reopened for the new fiscal year via email and website announcement. The Inventory system typically remains closed until mid-October or early November.
After the inventory system closes on Aug. 31, what does that mean for you?
FRMS Departmental Inventory Portal
This system will also be closed for status updates. However, you may update record location changes and update the responsible person.
CCART transfer system
This system remains open year-round. You will need to update your fiscal year within your authorizations in order to avoid the error message: Fiscal year closed for inventory work. Please refer to the askUS answer CCART Error: Fiscal Year Closed for Inventory Work for steps to make the necessary updates.
Continue to submit your tag data to INVselftag@austin.utexas.edu, but keep in mind nothing will be added or changed until the Inventory system reopens for the new fiscal year.
Your efforts in meeting these deadlines are greatly appreciated. We encourage you to process documents as early as possible to avoid the year-end rush.
